Xerox Builders Ltd. (“Xerox Builders”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through xeroxbuilders.ca and when you contact us, how we use it, and the choices you have. We handle personal information in line with British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

Information you give us. When you request a quote, send a message, or contact us by phone or email, we collect what you choose to share, such as:

  • your name, email address and phone number;
  • project details such as the type of project, the city where it is located, your timeline, and anything you write in your message;
  • documents you send us, such as drawings, surveys or photos.

Information collected automatically. When you submit a form, our website records technical details that help us prevent spam and fraud: your IP address, browser and device type, and the page the form was sent from. If you agree to analytics cookies, we also collect information about how visitors use the site (see section 6).

2. How we use your information

  • to respond to your enquiry and prepare a quote or proposal;
  • to contact you about your project by phone or email;
  • to plan, manage and complete construction projects we are hired for, including permits, warranty and after-care;
  • to send you a confirmation when you submit a form on our website;
  • to protect our website and forms from spam and misuse;
  • to understand how our website is used so we can improve it;
  • to meet our legal, tax, accounting and warranty obligations.

We do not sell, rent or trade your personal information, and we do not add you to marketing mailing lists without your permission.

3. Consent

By submitting a form or contacting us, you consent to us using your information for the purposes described in this policy. You can withdraw your consent at any time by contacting us (see section 10). If you withdraw consent, we may not be able to provide a quote or continue work on a project, and we may still need to keep some records where the law requires it.

4. Who we share it with

We share personal information only when needed to run our business or deliver your project:

  • Service providers that help us operate, such as our website host (Hostinger), our email provider (Google Workspace) and our website analytics provider (Google Analytics). They may only use your information to provide their services to us.
  • Project partners such as architects, designers, engineers, surveyors, trades and suppliers, when needed for your project and with your knowledge.
  • Municipalities and regulators, such as when we apply for permits, register home warranty coverage, or book inspections for your project.
  • Authorities when we are required to by law.

To help catch typing mistakes, our quote form checks that the part of your email address after the “@” (for example, gmail.com) can receive email. This is done with a public internet lookup through Google or Cloudflare; only that domain name is looked up, not your full email address.

5. Where your information is stored

Some of our service providers, including Google, may store or process information on servers outside Canada, such as in the United States. When that happens, your information may be subject to the laws of that country, and authorities there may be able to access it under those laws.

6. Cookies and analytics

Our website uses a small number of cookies that are needed for it to work, such as keeping forms secure. With your permission, we also use Google Analytics to understand, in aggregate, how people find and use our site, for example which pages are visited most. When you first visit, a cookie banner lets you accept or decline non-essential cookies, and you can also block or delete cookies in your browser settings.

7. How long we keep it

We keep personal information only as long as we need it for the purposes above. Enquiries that do not lead to a project are generally deleted within two years. Records for projects we build are kept for as long as needed to meet warranty, tax and legal requirements, which in BC can be ten years or more after completion.

8. How we protect it

We use reasonable safeguards to protect your information, including secure (HTTPS) connections on our website, password-protected accounts with limited access, and trusted service providers. No website or email system can be guaranteed 100% secure, so please avoid sending highly sensitive information, such as banking details, through our website forms.

9. Your rights

You may ask us to:

  • tell you what personal information we hold about you and how it has been used;
  • correct information that is wrong or incomplete;
  • delete information we no longer need to keep;
  • stop using your information for a particular purpose.

We will respond within 30 days. We may need to confirm your identity before sharing or changing any information.
